If you offer a traditional group health insurance plan to your employees, or hope to in the future, there’s a special type of health reimbursement arrangement (HRA) that’s specifically designed for employers like you.

With the group coverage HRA (GCHRA), also known as an integrated HRA, employers can offer both group health insurance and an HRA together to cover costs not fully covered by the group health insurance plan. For example, you can use a GCHRA to help employees pay for deductibles and other out-of-pocket expenses.

How a GCHRA with PeopleKeep works

STEP 1

Create a PeopleKeep account

To get started, you’ll create a PeopleKeep account for your organization. Here you’ll fill in basic information about your organization, like the address, phone number, and tax-filing status.

We use the information you enter to set up your legal plan documents, which are part of what makes your GCHRA plan compliant with applicable federal regulations.

You’ll also include some basic contact information about you. As the benefits administrator, you’ll be able to add and manage benefits, users, and billing information. You’re welcome to add more admins later to help manage your account.

STEP 2

Design your GCHRA benefit

Now you’re ready to design your benefit so it’s tailored to you and your employees’ needs. This step includes choosing a monthly allowance amount, deciding if you want employees with different family statuses or classes to receive different allowance amounts, and choosing when you want your benefit to start.

  • Choose a benefit start date
  • Choose whether to offer a full annual allowance up-front or monthly allowances
  • Restrict reimbursement categories
  • Differ eligibility and allowances with employee classes
  • Choose whether to require an explanation of benefits (EOB) from the insurance company
  • Enable optional features like having employees meet a deductible or pay a percentage of eligible expenses

STEP 3

Add your people and launch your benefit

Next, you’ll add the names and emails of each of the employees you want to participate in your GCHRA benefit. With a GCHRA, employees must also be participating in your group health insurance plan to be eligible for a GCHRA allowance.

When you’re ready, the last step is for you to sign your benefit documentation to officially launch your GCHRA. Once it’s signed, we’ll automatically invite your employees to start using it on the start date you chose!

STEP 4

Employees make eligible purchases and submit reimbursement requests

Your eligible employees who opt-in to the benefits purchase healthcare items and services out-of-pocket. They can then submit those expenses along with documentation, like a receipt, with the software. PeopleKeep's expert team will review your employees' reimbursement requests for IRS compliance.

STEP 5

Reimburse employees

Once we verify your employees' reimbursement requests, you can reimburse them through payroll or by cash or check.

Can business owners participate in a PeopleKeep HRA?
